Job Description

The Executive Assistant provides high-level administrative and operational support to organizational leadership. This role ensures smooth daily operations, supports strategic initiatives, and maintains strong communication across staff, volunteers, donors, and partner organizations. The ideal candidate is detail-oriented, proactive, and committed to supporting a mission-driven environment.

Temp to Hire Opportunity

Key Responsibilities:

  • Manage calendars, appointments, travel arrangements, and meeting logistics
  • Prepare agendas, presentations, reports, and supporting documents
  • Handle confidential information with discretion and professionalism
  • Coordinate leadership and board meetings, including minutes and follow-up actions
  • Assist with donor communications, correspondence, and relationship-building tasks
  • Maintain organized filing systems, databases, and digital records
  • Support HR functions such as onboarding, volunteer coordination, and documentation
  • Assist with event planning, project logistics, and operational workflows
  • Process invoices, expense reports, reimbursements, and basic financial tracking
  • Serve as a central point of contact for internal and external inquiries
  • Draft and edit emails, announcements, newsletters, and organizational updates
  • Coordinate communication between departments, volunteers, and external partners
  • Support social media, website updates, and content gathering as needed
  • Ensure timely follow-up on action items and project deadlines

Qualifications:

  • 2+ years of experience in executive support, administrative roles, or nonprofit operations
  • Strong organizational skills with the ability to manage multiple priorities
  • Excellent written and verbal communication skills
  • High level of professionalism, confidentiality, and emotional intelligence
  • Proficiency in Microsoft Office Suite; familiarity with CRM or donor-management systems a plus
  • Experience in a mission-driven, nonprofit, or service-oriented environment preferred
